Advance Payment for Custom Orders: How Much and How to Ask
Advance payment for custom orders: how much to take, how to ask without feeling awkward, and copy-paste WhatsApp scripts in English and Hinglish.
If you make things to order, you have probably started work for someone who then went quiet. The cake is baked, the design is half done, the necklace is cast, and the customer says "I will let you know". That is why advance payment for custom orders is not rudeness. It is how a custom business stays a business.
This guide covers how much to ask for, when to ask, and exact words you can paste into WhatsApp.
Why advance payment for custom orders matters#
A custom order cannot be resold. A standard product can go back on the shelf if the buyer walks away. A cake with someone's name on it, a wedding shoot you blocked a date for, or a jewellery piece made to size cannot.
An advance does three things:
- It covers materials and costs you cannot recover.
- It reserves the slot, so you turn away other work for this customer.
- It filters out people who were only asking for a price.
How much advance should you take?#
Start with your non-recoverable costs, then add a margin for your time and the risk of cancellation. These are examples, not rules.
| Order | Order value | Advance | Amount | Why |
|---|---|---|---|---|
| Custom cake | ₹3,500 | 50% | ₹1,750 | Ingredients and decoration are bought up front, and the cake cannot be resold |
| Wedding photography | ₹40,000 | 30% | ₹12,000 | The date is blocked, and you may turn down other bookings |
| Custom necklace | ₹45,000 | 40% | ₹18,000 | Metal and stones are bought for this piece |
| Printed invitations | ₹5,000 | 50% | ₹2,500 | Printing starts only after approval |
Work out your own number: add up the money you would lose if the customer cancelled today, divide by the order value, and round up.
When to ask#
Ask in the same message as the quote. If you quote first and bring up payment later, it feels like a new condition. If the advance is part of the price message, it is simply how you work.
Four WhatsApp scripts#
1. The quote with advance#
English
Hi [Name], thank you for the details! The [item] will be ₹[total]. To confirm your order and reserve the date, I take a [X]% advance of ₹[amount]. The balance is due [on delivery / before delivery]. You can pay by UPI to [UPI ID]. Once I receive it, I will start on your order.
Hinglish
Hi [Name], details ke liye thanks! [Item] ka total ₹[total] hoga. Order confirm karne aur date reserve karne ke liye main [X]% advance leta hoon, yaani ₹[amount]. Baaki balance [delivery par / delivery se pehle] dena hoga. UPI: [UPI ID]. Payment aate hi main kaam shuru kar dunga.
2. When they say "I will pay on delivery"#
English
I understand! Because this is made only for you, I cannot start without an advance. It covers the materials and keeps your date reserved. If it helps, we can do a smaller advance of ₹[amount]. Shall I share the payment details?
Hinglish
Samajh sakta hoon! Ye sirf aapke liye bana hota hai, isliye advance ke bina shuru nahi kar sakta. Isse material aata hai aur aapki date reserve rehti hai. Chahein toh chhota advance ₹[amount] bhi chalega. Payment details bhej dun?
3. Gentle reminder#
English
Hi [Name], a quick reminder that your [item] is penciled in for [date]. I will confirm the slot once the advance of ₹[amount] comes in. Happy to answer any questions!
Hinglish
Hi [Name], yaad dila raha hoon ki aapka [item] [date] ke liye pencil mein hai. ₹[amount] ka advance aate hi slot confirm kar dunga. Koi sawal ho toh batayein!
4. Confirmation once paid#
English
Received ₹[amount], thank you! Your order is confirmed. Here is what happens next: [design preview / start date / delivery date]. The balance of ₹[balance] is due [when].
Hinglish
₹[amount] mil gaye, thank you! Aapka order confirm hai. Aage ye hoga: [design preview / start date / delivery date]. Baaki ₹[balance] [kab] dena hai.
Put your refund rule in writing#
Most advance disputes are not about the money. They are about a rule that was never said out loud. Add one short line to your quote message:
Advance is fully refundable before work starts. After materials are purchased, [X]% is non-refundable. After design approval, the advance is non-refundable.
Pick rules you are comfortable enforcing, and use the same ones for everyone.
Collect it properly#
- Verify in your own app. Open your UPI or bank app and check the credit. Screenshots can be faked or can show a payment still in progress.
- Match the amount and name. Confirm the amount is right before you start.
- Keep a record. Note the order, the amount, and the date in one place.
- Ask your CA about GST on advances. Whether and how GST applies depends on your business, so confirm it with your CA.
If the customer pushes back#
Some pushback is normal and does not mean you should drop the advance.
- If they are worried about trust, share photos of past work, reviews, or a quick call.
- If the amount is the issue, offer a smaller advance and a later date for the balance.
- If they still refuse, it is fine to decline. A customer who will not pay ₹1,750 up front is a risk on ₹3,500.
Taking advances in H4B#
If you are tired of chasing screenshots in chat, HandForBrand lets you send one link where the customer sees the order, approves the design, and pays the advance. The payment is recorded against the order automatically, so you do not have to check it by hand. See the plans and fees, or read how to add your first product with an advance amount.
Frequently asked questions
How much advance should I take for a custom order?
Take enough to cover the money you cannot get back if the customer disappears: materials, bookings, and a share of your time. For most custom work that lands between 30% and 50%. Higher-cost or fully bespoke items sit at the upper end.
Should the advance be refundable?
Decide this in advance and put it in writing. A common rule is a full refund before work starts, a partial refund once materials are bought, and no refund after the design is approved. Whatever you choose, state it in the quote message.
What if a customer says they will pay on delivery?
Stay polite and explain that the advance reserves their slot and covers materials. Offer a smaller advance if needed, but do not start custom work with nothing paid.
Do I have to pay GST on an advance?
It can depend on what you sell and whether you are GST registered. Ask your CA how GST applies to advances for your type of business.
How do I know a payment actually reached me?
Check your own UPI or bank app. A screenshot can be edited or can show a payment that is still pending.
